CEIPAL WorkForce At A Glance

CEIPAL WorkForce is an open-source platform (similar to OrangeHRM) built for managing employee information, tracking time and attendance and workflows.

One unique aspect of this solution is that users can assign job tasks to employees straight from the platform, as well as charge billable hours to clients with the invoicing feature. CEIPAL WorkForce also helps with adhering to legal compliance, especially with ensuring employees are authorized to work in the United States.

Here are several of the common features of CEIPAL WorkForce:

Employee Database:

  • Lets employees update their own personal information
  • Records past work experience, financial details, dependents, and more
  • Keeps a consolidated record of timesheets, leaves, assets, expenses, and more

Employee Self-Service:

  • Allows employees to ask questions to management and raise queries directly to the person able to answer them
  • Organizes and stores documents for the whole company to access
  • Lets users view historical updates to existing and new policies

Time & Attendance Management:

  • Manages timesheets in daily, weekly, or monthly increments
  • Lets users customize timesheet workflows
  • Sends invoices from timesheets or expense reports

Leave Management:

  • Tracks employees’ available and used leave time
  • Lets employees submit time-off requests through a self-serving leave management system
  • Allows for the approval or rejection of leave requests straight from the platform

Immigration & Work Authorization:

  • Manages immigration and work authorization documents (I-9, labor condition applications, H-1B visas, Green Cards, etc.)
  • Allows users to customize status workflows
  • Sets automated reminders before Visas/Green Cards expire

Expenses:

  • Manages all expense tracking (transportation, hotel and other expenses) related to the business
  • Integrates data from accounting software for expense reports
  • Lets users submit expense reports/bills via web portal or mobile device
  • Exports reports in multiple formats

Workforce Analytics:

  • Creates dashboards, reports, and charts to monitor employee performance, revenue metrics and forecasts, and compliance metrics
  • Allows users to access reports from any mobile device, including exporting them into multiple formats directly from the mobile app

Implementation/Integration

CEIPAL offers a three-step deployment process:

Step 1 – A solution layout is designed with the customer’s needs in mind, focusing on setting up the areas of the platform necessary and intended for use by the end-users.

Step 2 – Role mapping is done for each component for workflow personalization and access/security purposes.

Step 3 – Migration, integration, and training are included for FREE. A dedicated support specialist migrates company data from the existing system into CEIPAL WorkForce, training end-users on platform functionality through live demonstrations or prerecorded webinars.

Customer Service & Support

Support is available via email and phone.

Response time for emails can range from 24 to 48 hours from the request submission time. However, if it’s an emergency, response time will be within four hours.

Pricing

CEIPAL WorkForce offers a scalable subscription pricing structure, based on the number of employees. For example, a company with 10 employees will pay $81 a month while a company with 150 employees can expect to pay $333 a month (billed annually).

Discounted rates are available if purchasing along with CEIPAL TalentHire.

Shortcomings

CEIPAL WorkForce doesn’t inherently offer payroll management (can only be integrated with QuickBooks for payroll administration at this time) or benefits (such as 401K, life/health insurance management, etc.).

For companies that are looking for these functions, we recommend they check out other HRMS solutions.
