Product Overview

Zenefits is an online HR suite that creates a central cloud-based hub for all employee data. By connecting all HR tools and services to one, easy-to-use dashboard, it improves efficiency by automating processes, reducing repetition and eliminating the need for paperwork.

The online platform allows businesses to streamline their benefits management and easily complete tasks like open enrollment, online renewal, viewing plans and costs, printing insurance cards and more. Zenefits partners with a wide range of providers all over the U.S. to ensure coverage for every industry, everywhere.

Zenefits has launched a new program called In It Together to help small businesses impacted by the coronavirus pandemic. New clients that sign up for any of Zenefits’ paid plans will have free payroll features for 12 months. It also applies to current Zenefits customers that aren’t signed up for payroll features. Clients that currently pay for payroll functionality will be upgraded to the Zen plan at no extra cost. The Zen plan offers the Well being app.

Features

Zenefits strives to alleviate most HR headaches. The following features are comparable to ones found in SilkRoad’s software:

Online Dashboard – The online dashboard is a central location allowing easy access and quick retrieval of all employee data within a company. The dashboard includes various resources and tools to streamline essential, yet time consuming, HR tasks like employee onboarding, benefits management, and attendance/paid time off tracking. The cloud-based platform also makes it easy to make changes across the board by connecting all HR systems (payroll provider, benefits provider and more) to the central hub.

Self-Service Portal – Empower managers and employees alike with their own HR portals. Employees can update their personal contact information, payroll deductions and time-off requests, while managers can approve employee changes and make requests such as title changes, salary changes and more. All updates made and approved are automatically sent across all connected HR systems.

Reports and Analytics – All employee data is linked to the main HR platform, allowing users to easily run reports in real-time based on information like turnover rates, paid time off, new hires and more.

Employee Onboarding – Digitize all new hire documents to easily generate paperwork, such as compliance forms and offer letters, and gather all necessary signatures online. Repetitive questions and requests are eliminated by automatically sending employee information across all connected HR systems, such as payroll and benefits.

Benefits Administration – Zenefits specializes in simplifying benefits management through an online portal. Find resources and quotes, update information, minimize compliance risks and keep up to date with the latest legislation all in one spot.

Vacation & Paid Time Off (PTO) – By using the online dashboard, businesses can easily create a PTO policy that fits the company’s culture. Employees can quickly request time off and report sick days, and managers are given the ability to review requests while tracking all employee PTO.

Security – Zenefits uses the highest encryption standards available (including 256-bit SSL) to ensure the security of its users’ data. Encryption keys are kept in a different location than the data, which is all hosted within a secure, off-site, cloud-based infrastructure. But it doesn’t stop there.

Sensitive data requires two-factor authentication by authorized personnel for access. The server hosting locations are physically guarded by trained security personnel 24/7, every day of the year.

Zenefits continuously performs in-house monitoring and third-party testing for all security features. Also, any changes made by administrators, customers, employees and the automated system are kept in a real-rime audit log.

Implementation/Integration

After sending a request to Zenefits (providing your name and a work email), the support team will work with companies one on one to start the implementation process.

Each company is assigned a support representative as a main contact. The company will continue to work with that representative from the initial set-up process to launch and training to periodic software/account maintenance.

Customer Service & Support

Zenefits offers various support options to fit a customer’s needs via its online Help Center, which includes guidance on various topics and telephone support.

If a company chooses to manage its benefits through Zenefits, a benefits representative will be assigned to the company for a consistent point of contact.

Pricing

Zenefits offers three levels of pricing: Essentials, Growth and Zen. Customers can be billed monthly or yearly.

Essentials: This plan is $10 per employee, per month ($8 for yearly billing) and includes the HR platform, time and attendance, scheduling, compliance, mobile app, PTO tracking and app connect (i.e., the ability to integrate Zenefits to third-party applications).

Growth: This plan costs $18 per employee, per month ($14 for yearly billing) and has all the features in the Essentials plan, plus compensation management and performance management.

Zen: This plan is $27 per employee, per month ($21 for yearly billing) and includes all the features in the Growth plan, plus Well-being (a feature that help companies measure and improve employees’ well being).

Zenefits also offers optional features, such as:

  • Payroll – Payroll is free to new clients under the In It Together program, which supplies free payroll for 12 months.
  • Benefits – This feature costs $5 per employee, per month if a company wants to use their existing broker and, it’s free for companies that use a broker from Zenefits’ partner network.
  • Advisory services – These services are $10 per employee, per month ($8 for yearly billing) and include access to certified HR and payroll experts for questions or issues.

Shortcomings

Zenefits is a growing company that recognizes its software limitations, and it’s diligently working to expand its features. Once bugs are found in the software, the support team quickly sets to work to fix the issues.

That said, some customers reported that their assigned representatives were difficult to reach during implementation, resulting in missed deadlines for insurance open enrollment. Other customers mentioned that Zenefits’ initial implementation support was good, but representatives became distant after launch.
