Product Overview

PinPoint is an Enterprise Document Management System scalable for all company sizes.

The software runs on a SQL database with a web interface so that users can access the solution from any web browser, computer, or mobile device.

PinPoint is implemented through two ways: cloud and self-hosted. Both deployment plans has an annual fee based on number of users and includes all PinPoint features mentioned below:

We want to note that in May 2017, LSSP introduced a built-in customer relationship management (CRM) system at no additional cost. The CRM integrates with the PinPoint DMS and includes features, such as creating appointments and schedules, emailing prospects and customers and built-in automation tools for filing documents.

Features

PinPoint includes these following features:

  • Records Management – Documents are stored in their native state but can be edited or commented on without altering the native format. There is the check-in/check-out functionality for users that need to make edits to the original document.
  • Capture – PinPoint captures all documents, regardless of paper or electronic, including multiple documents that can be automatically taken apart and filed.
  • Retrieve – With this feature, users can look up specific documents/files by performing a content or metadata search.
  • Knowledge Base – All files are stored in one central location.
  • Version Control – This feature provides the ability to save all versions of a revised file as well as accessing previous revisions.
  • Workflow – This function helps users manage their tasks, including sending automatic notifications of tasks assigned to colleagues.
  • Compliance – PinPoint helps companies adhere to the following compliance standards: DOD, HIPAA, OSHA, SOX, FACTA, FDA, and SEC. As any rulings are changed, PinPoint updates its compliance function.
  • Forms Processing – Users can create a new document within the software, fill out any forms, and share them with others. They can also attach workflows to the document as well as track it.
  • Security – Administrators can grant specific users access to particular aspects of PinPoint based on their roles.

Implementation/Integration

The implementation process starts with a meeting between the customer and LSSP in a Core Business Meeting. During the meeting, the customer is assigned a dedicated Project Manager who will discuss the company’s needs and implementation procedures.

The software is then designed, installed, and tested. The Project Manager is the company’s point of contact throughout the implementation process. Note that implementation costs are included in the price of the software, so companies don’t have to pay extra.

LSSP also offers training for administrators and users via either web-based or at the company’s site. Other training methods include monthly webinars and video web training.

Customer Service & Support

Companies can contact their LSSP Project Manager for support. Also, tech support is available via phone, email, or chat during regular business hours (8:30AM to 5PM CST Monday to Friday).

Pricing

LSSP offers four pricing plans for PinPoint. Each plan has subsequent pricing breakdowns by number of users. The plans are:

Basic: The Basic plan includes the following features: drag-and-drop files, check-in/check-out, document and records retention, workflow automation, version history, files and folders search, scanning directly into PinPoint, defining metadata files and merging and splitting files. Here is the further breakdown of the Basic pricing plan (note that the plan has to be paid annually):

  • Up to 5 users: $12 per user per month
  • 10 users: $9 per user per month
  • 25 users: $8 per user per month
  • 50 users: $7 per user per month
  • 100 users: $6 per user per month
  • 250 users: $5 per user per month
  • If over 250 users, contact LSSP for a quote

Essentials: The Essentials plan adds annotation and mark-up functionality as well as the built-in CRM system. Otherwise, it has the same features as the Basic plan. Here is the pricing breakdown:

  • Up to 5 users: $13 per user per month
  • 10 users: $11 per user per month
  • 25 users: $10 per user per month
  • 50 users: $9 per user per month
  • 100 users: $8 per user per month
  • 250 users: $6 per user per month
  • If over 250 users, contact LSSP for a quote

Automate: The Automate plan includes all the features of the Basic and Essentials plan but also includes: e-signature, full content search, automated batch filing, automatic metadata capture from content, a viewers portal and integration with Microsoft Office. The pricing breakdown is as follows:

  • Up to 5 users: $20 per user per month
  • 10 users: $17 per user per month
  • 25 users: $13 per user per month
  • 50 users: $12 per user per month
  • 100 users: $10 per user per month
  • 250 users: $7 per user per month
  • If over 250 users, contact LSSP for a quote

Pro: The Pro plan includes all features of the other three plans. However, it also includes API connectivity and single-sign-on capability. Here is its pricing breakdown:

  • Up to 5 users: $25 per user per month
  • 10 users: $19 per user per month
  • 25 users: $15 per user per month
  • 50 users: $13 per user per month
  • 100 users: $11 per user per month
  • 250 users: $8 per user per month
  • If over 250 users, contact LSSP for a quote

The single-sign-on feature is available as an add-on for $8 per user per year on the Basic, Essentials and Automate plans.

Shortcomings

If users purchase the self-hosting deployment option, LSSP has to install the software, and only special exceptions are permitted.
