Product Overview

collectiveFLEET is a fleet-management system designed for companies with fleet, vehicles, and other high-end equipment to help them track maintenance costs without the hassles of spreadsheets or paper-based monitoring. It can be customizable to a company’s specifications, flexible, and scalable. It also can be integrated with other software (such as accounting systems, fuel cards, and GPS).

collectiveFLEET includes a Mission Control dashboard for monitoring KPIs, such as status of equipment being serviced, maintenance request status, employee licensing, and more.

In March 2015, collectiveFLEET has launched a new web-based version for its users that is accessible from any device with a web browser. The web-based version also reduces the time and expense of a long implementation process.

collectiveFLEET includes these following features:

Asset Management – Users can track all of the equipment’s information on one screen, such as costs, depreciation, condition, scheduled maintenance, and more.

Preventative Maintenance – Users can track preventative maintenance service schedules, as well as receive email alerts when specific maintenance service is due.

Inventory Management – Users can track information on parts, its quantity, and warranties. Parts can also be purchased via the module. And for efficiency in monitoring inventory, users can scan them via a barcode scanner or printer.

Work Orders – Work orders can be created and edited at anytime; users will also have access to the history of a specific work order, as well as create estimates. The shop interface is accessible for both technicians and supervisors – technicians can clock in an out, as well as monitor their work. Supervisors can keep track of the status of the work as well as assign work to technicians based on their skills.

Safety – Within the safety module, users can monitor driving habits, employee incidents, manage inspections on assets, and keep track of claims and accident reports.

Business Intelligence – In addition to monitoring KPIs, users can perform additional analyses and create reports  from over a hundred fleet reporting templates. Users can also create their own custom reports that can include graphs and charts – reports can be exported to a PDF or CSV format.

Implementation/Integration

The implementation process starts with an evaluation session (either via Web or onsite) where Collective Data looks at the company’s processes and work flows to get a sense of who will be using the software and what feature(s) the company should consider using. Collective Data will then make suggestions on methods the company can use to make their processes a little easier. Collective Data also offers data conversion services for companies that do not prefer to convert data themselves.

The collectiveFLEET software can be deployed in four ways: the traditional on-premised solution, a hybrid method via a mobile app, remote access, and SaaS via a 3rd-party hosting service (Mercury Associates).

Collective Data also offers these training options: webinars, onsite training, Web-based training, and sessions at the Collective Data training facility at their headquarters.

Customer Service & Support

Customers can contact customer support via phone or email. They also can access Collective Data’s online support center (included in service contract) for a comprehensive Knowledge Base, including articles, videos, and more.

Shortcomings

The collectiveFLEET software is not compatible with Macs. Also, its focus is on customers with critical fleet and vehicle equipment, so companies that want to maintain other assets may have to look elsewhere.
