collectiveFleet At A Glance

Good: Optional add-ons such as fuel cards and GPS, four deployment options, business intelligence functionality.
Bad: Companies that manage additional assets may be better suited for Collective Data's other product, collectiveFusion.
Bottom Line: Flexible, easy to use, and scalable system designed for companies with high-end fleet and vehicles.

Product Overview

collectiveFleet is a fleet and asset system designed for companies with fleet, assets, and other high-end equipment to help them track maintenance costs without the hassles of spreadsheets or paper-based monitoring. It can be customizable to a company’s specifications, flexible, and scalable. It also can be integrated with other software (such as accounting systems, fuel cards, and GPS).

collectiveFleet offers an option for companies to manage other assets, such as buildings. The software has several additional benefits, which are:

  • Accessible from any desktop or mobile device via web browser
  • Streamlined time-consuming tasks
  • Reduced equipment costs via preventative maintenance
  • Improved customer service
  • Improved communication among technicians
  • Access to historical data in order to stay compliant

Features

collectiveFleet includes these following features:

Asset Management – Users can track all of the equipment’s information on one screen, such as costs, depreciation, condition, scheduled maintenance, and more.

Preventative Maintenance – Users can track preventative maintenance service schedules, as well as receive email alerts when specific maintenance service is due.

Inventory Management – Users can track information on parts, its quantity, and warranties. Extended parts tracking can also be purchased via the advanced parts module. And for efficiency in monitoring inventory, users can scan them via a barcode scanner or printer.

Work Orders – Work orders can be created and edited at anytime; users will also have access to the history of a specific work order, as well as create estimates. The shop interface is accessible for both technicians and supervisors – technicians can clock in an out, as well as monitor their work. Supervisors can keep track of the status of the work as well as assign work to technicians based on their skills.

Safety – Within the safety module, users can monitor driving habits, employee incidents, manage inspections on assets, and keep track of claims and accident reports.

Business Intelligence – In addition to monitoring KPIs, users can perform additional analyses and create reports  from 130 stock reports. Users can also create their own custom reports that can include graphs and charts – reports can be exported to a PDF or CSV format.

collectiveFleet also offers these optional features, such as:

  • Job Site Management
  • Extended Asset Management
  • Shop Interface
  • Advanced Parts Tracking
  • VMRS Codes
  • Motor Pool
  • Customer Management

Implementation/Integration

The implementation process starts with an evaluation session (either via Web or onsite) where Collective Data looks at the company’s processes and work flows to get a sense of who will be using the software and what feature(s) the company should consider using. Collective Data will then make suggestions on methods the company can use to make their processes a little easier. Collective Data also offers data conversion services for companies that do not prefer to convert data themselves.

The collectiveFleet software can be deployed in four ways: the traditional on-premised solution, a hybrid method via a mobile app, remote access, and SaaS via a third-party hosting service.

Collective Data also offers these training options: webinars, onsite training, Web-based training, and sessions at the Collective Data training facility at their headquarters.

Customer Service & Support

Customers can contact customer support via phone or email. They also can access Collective Data’s online support center (included in service contract) for a comprehensive knowledge base, including articles, videos, and more.

Pricing

Collective Data doesn’t publicly release its pricing information. Please contact them directly for a quote.

Shortcomings

collectiveFleet focuses on customers with assets, so companies that want to maintain other assets may be better suited with a different Collective Data product, such as collectiveQuartermaster.
