Mitrefinch TMS At A Glance

Good: Deployed as either cloud or on-premise, HR module for storing employee data and handling HR tasks, Time Allocation system.
Bad: Not intended for businesses with fewer than 100 employees, payroll isn't built in (although Mitrefinch integrates with other payroll solutions).
Bottom Line: Workforce management system with a variety of time-collection options designed to reduce time fraud and labor costs.

Product Overview

Mitrefinch TMS is a workforce management system designed to help companies minimize time fraud, reduce labor costs and improve productivity. It’s deployed as either an on-premise or cloud-hosted solution.

Mitrefinch also has an HR module for storing employee information (e.g., benefits, training, etc.). In addition, it integrates with third-party payroll and HR systems.

There are other benefits to Mitrefinch, including:

  • Improved time tracking of remote workers due to mobile time clocks
  • More efficient employee scheduling
  • Better adherence to FMLA and other legal/regulatory compliance
  • Access to daily or weekly time reports to help managers find absenteeism issues

Mitrefinch TMS provides customers with a variety of time-tracking options, such as:

  • Biometric time clocks
  • Proximity clocking terminals (e.g., key fobs, key pads or ID cards to record arrival and departure times)
  • Web-based time clocks (including a Microsoft Outlook add-on for clocking in and out via email)
  • Mobile time clocks with optional GPS technology for more accurate clock-in/clock-out times

Features

In addition to time clocks, Mitrefinch TMS includes several features, such as:

Employee shift scheduling: Businesses can create simple or complex shift schedules by using employee availability or skill set. Employees can receive their schedules, confirm availability and request leave using any device. Managers can receive alerts triggered by an employee’s unavailability for a specific shift, or if an employee’s hours get close to or exceed overtime.

Absence management: As employee absenteeism can affect costs, deadlines and productivity, Mitrefinch offers an absence management function to help businesses spot absenteeism issues. Managers can access absence records for each employee to determine if planned leave should be approved. They can also restrict the number of absences or planned vacation days while working on a project deadline or other critical tasks. Additionally, managers can get notified if an employee didn’t clock in or out as scheduled.

HR self-service: Mitrefinch includes an employee database that contains all workers’ records regarding training, performance, benefits and more. Employees can update their personnel information (such as their address) straight from the software, if authorized to do so by their manager. They can also view their vacation and sick leave balances. Mitrefinch can help with other HR management tasks, including creating and editing form letters, generating reports and tracking compliance.

Reporting: Users can create reports on time and attendance at their convenience. Reports can be manually or automatically scheduled and are exported as PDFs.

Mitrefinch Time Allocation System: The Time Allocation System helps businesses control labor costs by managing tasks and employee time. Designed for businesses with multiple locations, this module centralizes real-time attendance data from all locations. Managers can also plan and track costs, labor and other aspects of their projects.

Implementation/Integration

Clients work with Mitrefinch’s project management and consultancy team on software deployment.

Some of the steps in the implementation process include:

  • Performing a pre-implementation audit to find out why the client needs a time and attendance system, what features the client is looking for, how many employees will use the system, etc.
  • Conducting financial benefit reporting for the time and attendance system
  • Creating a general timeline of the process
  • Designing and developing the system using Mitrefinch’s mapping tools

Mitrefinch has different training options, including training at the client’s site (highly recommended by Mitrefinch as part of the implementation process) and follow-up training sessions if needed. In addition, Mitrefinch offers both refresher training and training for new employees.

The company also has manuals and online guides. And clients can attend Mitrefinch’s User Group meetings to learn about industry and product developments.

Shortcomings

Mitrefinch TMS isn’t intended for smaller businesses (those with fewer than 100 employees). Small businesses looking for a time clock solution can check out our other reviews, such as actiTIME or Replicon TimeAttend.

Although it integrates with third-party payroll solutions, Mitrefinch TMS doesn’t offer its own payroll feature.
