Product Overview

Paymo is a cloud-based solution intended to help small and medium-sized businesses manage their projects and collaborations. It has several benefits for companies, including:

  • Easy-to-use interface with simple workflows
  • Improved productivity with online collaboration and less reliance on meetings
  • Improved revenue, as integrated accounting tools allow efficient sending of invoices and quicker payments
  • Ability to track current projects and predict the outcome of future ones using real-time data

Paymo integrates with many different apps via Zapier (such as Google DriveDropbox and QuickBooks). It recently started integrating with Hubstaff for automatic time-tracking.

Also, Paymo has mobile apps for Android and iPhone/iOS users.

Features

Paymo includes many different project management features, several of which are indicated in the checkboxes below. We’d like to highlight some of those features.

Project managers have a dashboard dedicated to each project that includes information such as hours worked, budget, tasks, overall status of project, assigned users, time sheets and milestones. They can also view a dashboard of all their current projects via Paymo’s Table View. In addition, they can manage the performance of each of their team members by looking at the statistics and activities of each team member (such as time spent on each task).

Also, project managers and users can visually plot out a project’s workflow via the visual Kanban boards. The Kanban boards allow the user to see the progression of a project, from tasks to be assigned, to tasks in progress, to tasks finished. Users can customize the boards based on their workflows.

The solution features real-time collaboration where users can chat within the platform, and share files and notes. Users can also comment on an activity stream dedicated to a particular task or project.

Paymo’s time-tracking functionality uses a web-based timer that records the length of time each task is worked on. Users have the option of installing PaymoPlus, a desktop-based app that automatically monitors the time spent on each task online. It also links the time to specific project tasks so users don’t have to manually figure out the hours. (Users still have the option to add their hours manually to a time sheet.)

Paymo also offers two desktop widgets for Windows and Mac systems for tracking time even when the employee is not logged into the web interface.

With the project accounting tool, users can create estimates, expenses and time sheets that generate into an invoice. They can also charge billable projects based on hours worked, a flat fee or both due to the flexible billing rates feature. For recurring projects with the same client, users can set invoices to be sent automatically. Users’ external clients can also pay online via PayPal or another payment vendor.

  • Available in 18 languages (invoices can be created in 15 languages) and multiple currencies
  • Project and task templates
  • Ability to assign multiple users to one task
  • Access permissions: Admin, Project Manager and User (managers can restrict user access to projects)
  • Generate reports based on user and/or time spent per project that can be exported to many different file formats

Also, note that Paymo has begun offering Gantt charts and task dependencies as new features.

Implementation/Integration

Users can sign up for Paymo via its website. After a 15-day free trial, they’ll be required to pay for monthly (or yearly) subscriptions with a credit card.

There’s a tutorial within Paymo’s Knowledge Base that helps users set up their accounts, add clients and projects, and invite other users to join.

Customer Service & Support

Users can access the Knowledge Base and FAQs for commonly asked questions, as well as submit a ticket request within the platform.

Paymo also encourages its users to submit ideas and suggestions on new features.

Users start with a 15-day free trial. After the free trial ends, they can sign up for a monthly subscription of $14.95 per user.
