Product Overview

Dokmee is an end-to-end document management system for capturing, storing, retrieving and sharing files.  It’s intended to help businesses of all sizes manage their document storage and transition to a paperless office. It has an easy-to-use interface with colorful icons and drag-and-drop functionality.

Dokmee is available both on-premise and in the cloud, so clients have the flexibility of deciding whether to host their own data.

There are several Dokmee products: Dokmee Desktop, Dokmee Professional, Dokmee Enterprise, Dokmee Cloud, Dokmee Capture and Dokmee Mobile. Dokmee Desktop is a Windows-based software, while the Dokmee Professional and Dokmee Enterprise solutions are web-based.

Dokmee integrates with many different applications, such as Workday, SAP, PeopleSoft, Salesforce, Quickbooks and Oracle. Users can also send files from any Microsoft Office program into Dokmee, as well as import PDF files using the Dokmee Virtual Printer.

In addition, we want to briefly mention the Dokmee Capture solution. It’s used for scanning and capturing documents from different sources, such as multifunctional products (MFPs) or scanners. Dokmee Capture is intended for offices that have large scanning needs. Some of its features include unlimited scanning, automated data capture and meta data creation. After a 15-day free trial, clients can purchase Dokmee Capture as a stand-alone product for $950. They can also purchase its network edition (clients must call for pricing).


Here are several key features of Dokmee (note that some features may not be available in specific editions):

  • Multiple language support
  • Indexing and search functionality, including index files and folders, search query templates, file notes, quick search, advanced search, and find and replace
  • File scanning
  • Ability to upload/import/export general files as well as files with metadata (importing/exporting metadata files not available in Cloud edition)
  • Organizing files with a favorites folder
  • Emailing and printing files
  • Ability to open files in external applications (available in Desktop edition only)
  • Version control functionality (available in Enterprise and Cloud editions)
  • Ability to cut, copy, paste and delete files and folders
  • E-signature functionality (available in Professional, Enterprise and Cloud versions)
  • Ability to merge and split PDF and TIFF files

The Professional, Enterprise and Cloud versions include security features such as multi-user access, management access control, restricted user access to file cabinets and an audit log. The Enterprise version includes additional features, such as file/folder-level user access and automatic backup.

The Dokmee Mobile app allows access to some of Dokmee’s features while on the go. However, features are restricted to the files/folders index, quick search, file uploads, file email sharing and deleting files.

For clients looking to completely transition to a paperless office, Office Gemini’s sales and implementation teams consist of staff with knowledge and expertise in document management.

Office Gemini provides training in the form of video tutorials, as well as through its Dokmee University. Dokmee University includes a self-paced online training center, onsite certification courses and continuing education via live webinars.

Customer Service & Support

Office Gemini offers the Dokmee maintenance and support plan for free during the first year. It covers software updates, along with phone, email and chat support, with fast response times to issues. The maintenance and support plan can be renewed each year for a fee.

While several users can view a file at one time, multiple users can’t edit or make revisions to a file simultaneously.

Note: Other features that aren’t offered may be standard in the future. Users have provided feedback on new features or product changes that Office Gemini will consider for a future upgrade. Some potential new features include biometric logins, notifications on workflows through mobile devices and mandatory index fields.

Very good solution - strongly recommend

We implemented Dokmee 2 years ago for my company and we have been happy with it ever since.
We were able to digitize all our documents and store them securely. Dokmee offers great features which help us manage the documents daily. We are using the e-signature and workflows a lot. There is still some improvement that can be made, especially on the mobile application: we would love to see the ability to log in using biometric, and to receive workflow notifications. But overall, we are quite satisfied with the solution. And their support is great: very responsive and friendly!
