Product Overview
Fleetio is a cloud-based fleet management software that empowers fleet managers to track their processes with automated workflows. They can monitor their vehicles or assets from anywhere, collaborate with their team in real time and make critical decisions based on data analysis. And because Fleetio allows for streamlined processes, managers can focus on more important tasks.

Fleetio integrates with a company’s existing GPS hardware and a variety of telematics software (e.g., Samsara, Verizon Connect, NexTraq), so fleet managers can track vehicle location, receive triggered notifications and respond quickly to any issues. It also integrates with fuel card companies and maintenance providers (e.g., Jiffy Lube, Pep Boys).
Features
Fleetio has numerous features. We’ve listed several of its key ones below.
Fleet tracking – Fleet managers can track all of their details (e.g., telematics data, warranty, documents) on their vehicles and assets in one place. They can import images, documents and other files, and store them in the vehicle’s profile. Fleetio has a VIN decoder that automatically pulls over 90 vehicle specifications. Managers can also track the entire lifecycle of the vehicle or asset.
Fuel management – As mentioned, Fleetio integrates with fuel cards, so transactions are automatically populated into the software. It calculates the miles per gallon and cost per mile for each transaction and even sends an alert if it detects an invalid odometer reading.
Preventative maintenance – Managers can set up maintenance service reminders and scheduling based on the timing or mileage intervals. The Service Programs feature populates the OEM-recommended maintenance schedule into the vehicle’s profile and can predict the service due date based on the vehicle’s daily driving usage. Managers can get the vehicle’s detailed service history (e.g., the shop that performed it, recalls and costs). Once they get a service reminder, they can create a work order, assign it to an in-house technician or outsource it to a third-party shop and track that work order’s status.
Inspections – This feature allows drivers to electronically fill out the Vehicle Inspection Report even if the software’s offline. Managers can create custom inspection forms, set up approval workflows and determine action items if an inspection failure is detected. Drivers can upload pictures or add comments to the report and if they’re required by law enforcement to show the inspection report, they can access it directly via the mobile app.
Inventory management and purchase orders – With the inventory management feature, managers can track the parts quantity and get alerts when the item is almost out of stock. If the item is due for a reorder, the manager can create a purchase order within the software, send it for approvals and then place the order. They can also track all of their purchase orders in a single place in addition to monitoring an individual order’s status. Additional inventory management features include multi-location management and a vendor pricing comparison chart.
Dashboards and reports – The software includes role-based dashboards with over 25 charts and graphs that users can choose from. They can see different metrics (e.g., fuel consumption, overdue inspections, service reminders, vehicle status), drill down into the top-level metrics for further insight, filter data by groups or region and share dashboards with other users.
In addition, Fleetio has built-in reports on operating costs, usage, inspections and other metrics. Users can customize the date ranges of the report, set up a schedule for email sending and export it to a PDF.
Mobile apps – Fleetio has two mobile apps. First, the Fleetio Go app allows managers to track their fleet, get alerts, manage maintenance issues and contact their drivers. Drivers can access the app to compile DVIR reports, get maintenance reminders on their vehicles, log their fuel transactions and upload receipts. Then, there’s the Fleetio Parts app that allows users to stay on top of their inventory management tasks. They can capture parts with barcode or QR code scanning, get real-time stock updates, update quantities and manage multiple inventory locations.

New clients can sign up for a 14-day free trial and being using the software right away. After the trial ends, they can choose from the two pricing tiers (more details on the tiers is in our Pricing section below). Fleetio’s Customer Success team offers optional onboarding services that’s tailored to the client’s needs, such as data migration and account configuration.

Pricing
Fleetio has two pricing tiers (based on annual billing):
- Pro – The Pro tier is intended for companies that outsource their maintenance tasks. It costs $5 per vehicle, per month and includes many features, such as unlimited users, the Fleetio Go mobile app, VIN lookups, maintenance planning, vehicle inspections, recall management, integration with maintenance shop tools and GPS software, integration with fuel card companies, driver assignments and vendor management.
- Advanced – The Advanced tier is intended for companies with in-house maintenance sources. It costs $7 per vehicle, per month and includes all of the features of the Pro plan, plus work orders, purchase orders, inventory management, the Fleetio Parts mobile app, webhooks and custom password requirements.
There’s an add-on equipment management feature that costs 50 cents per asset, per month.
Organizations that manage over 500 assets and need specific features, such as single sign on (SSO), a testing sandbox environment, custom branding and priority support, can contact Fleetio directly for a quote.
Shortcomings
Fleetio doesn’t have built-in driver performance management, accident detection or route planning features, but it can integrate with third-party software that offers them. Also, some users have mentioned that the reporting features could use additional customization options.
