Product Overview

Optimum Payroll is a payroll solution designed to help companies process their payroll more efficiently. It offers automated payroll, unlimited benefits deductions, direct deposit, check printing and tax reporting.

In addition to convenient and streamlined payroll processing, Optimum Payroll has other benefits, such as:

  • Flexible choice of deployment options (on-premise and cloud deployment)
  • Standard and custom reports to help companies comply with labor and regulatory guidelines
  • In-house support team consisting of customer service reps who are payroll experts (with Certified Payroll Professional designations) to answer payroll-related questions
  • Data security (data such as employee Social Security numbers and pay rates can be marked as confidential)

Companies have the option of purchasing Optimum Payroll as either a stand-alone product or as part of a package with the Optimum HRIS and Time and Attendance modules. The integrated package allows for a single employee database so there’s no manual data entry needed.

Optimum also offers an Employee Self Service module that allows employees to view their paychecks and vacation/sick leave balances within the software.

Optimum Payroll has many features, such as:

  • Ability to run payroll multiple times within a pay cycle
  • Ability to run multiple checks for an employee within a pay cycle, if needed
  • Ability to track unlimited deductions and benefits
  • Unlimited direct deposit accounts (also can pay employees by check or pay cards)
  • Ability to pay employee’s child support or tax levies via check or electronic funds transfer
  • Automatic computations of employee’s child support or tax levy payments
  • Ability to track employee’s dependents for Affordable Care Act (ACA) reporting
  • Federal, state and local tax reporting (Optimum Payroll also updates the federal, state and local tax tables)
  • Ability to set up unlimited local tax tables
  • Direct printing on a variety of federal forms, such as W-2, W-3, 940, 941, and Affordable Care Act forms 1094-C and 1095-C
  • Variety of built-in reporting templates
  • Ability to create custom reports with a third-party report writer such as Excel (this is only offered in Optimum’s on-premise version)
  • Ability to export reports to Excel, PDF and other formats

Optimum Payroll integrates with financial/accounting systems and enterprise resource planning (ERP) solutions via the general ledger interface.

Finally, it also offers optional tax filing services for companies that prefer to outsource their tax filing/reporting functions.

Implementation/Integration

Optimum Payroll offers both cloud and on-premise deployment. The on-premise option is web-enabled, and it can be installed on either a Windows or IBM server. Customers can also have Optimum configured to meet their needs.

New customers will start with a demo where Optimum’s dedicated implementation consultant will discuss them a general overview of the solution as well as how it fits in the customer’s business.

Optimum offers a variety of training options for both new and current clients. New customers will get a thorough explanation of Optimum’s features and functionality, and expert advice on how to make the systems work for them.  They can also expect thorough training that starts with system setup and lasts through the successful completion of their first live payroll.

For current customers, Optimum offers additional training for any software update or if they have new users. Those options (available for purchase) are:

  • web-based training in 2-hour increments,
  • on-site training at the company’s facility (minimum of 2 days)
  • training at Optimum’s facility in Nashville

Regardless of training method selected, customers will have a dedicated Optimum specialist with HRMS/payroll experience that can train any number of staff members and answer all questions the customer has.

Optimum also offers live webinars throughout the year on the changing HRMS/payroll field, such as Year End Processing and Affordable Care Act (ACA). The webinars are free of charge.

Customer Service & Support

Each company has a dedicated support rep during software implementation and beyond. The rep is the first point of contact if any issues arise post-implementation.

Optimum’s in-house support staff consists of certified payroll and HR experts that can answer any payroll-related questions the customer has.
