Product Overview

VersAccounts Small Business Cloud ERP is a cloud-based enterprise resource planning solution that targets growing businesses in the distribution, e-commerce, e-retail and light manufacturing industries. Usually, its customers are looking to move up from entry-level accounting-only systems and spreadsheets, migrating from an older ERP system, or combining multiple business systems into one platform.

Since it’s a cloud-based system accessible from any device, businesses won’t need to worry about hosting or maintaining software. They just need to pay a monthly or annual subscription.

VersAccounts has the flexibility to handle multiple companies, divisions, countries and currencies. It also supports an unlimited number of transactions.

Features

Multi-entity Accounting – As the name suggests, companies can track the financials of all their entities in one system. The features in this module include general ledger, accounts payable, accounts receivable, fixed asset management and cash management.

Advanced Inventory – The advanced inventory module supports multiple warehouses, complex bill of materials,  lot-numbered items, barcoding and custom data fields. Companies can also track the inventory of raw materials and finished goods.

Sales Order Management – This module supports the ability to create and track sales quotes, convert quotes or set up new sales orders, provide links to the distribution module for shipping, manages invoice creation, receive payments and manage sales returns.

Purchasing – The purchasing module lets companies streamline the purchasing lifecycle, including managing purchase orders, links to the receiving functionality in the warehouse, process supplier invoices, and make payments for the goods or services provided.

Distribution – The distribution module includes inventory management in single and multiple locations, drop shipping support, paperless receiving, and integration to e-commerce and point of sale (POS) systems. It also supports packing, paying and shipping processes done by barcode scanners and mobile devices as an add-on capability. Companies can opt to have their distribution processes customized to their specific industry.

Customer Relationship Management – Companies can track and manage relationships with their prospects, customers and vendors. Their back-office staff can also rely on the CRM to manage invoicing, bills and more.  The module supports contact and service management functionality, and VersAccounts plans to add pipeline management in a future product upgrade.

Production – This module supports both process and discrete manufacturing, and includes capabilities such as creating and tracking work orders, multi-level bill of materials, cost tracking and the ability to change processes/parts on an ad-hoc basis.

Projects – With this module, companies track all time and expenses, both billable and non-billable, related to a specific project. Revenue and expenses are tracked in real time, with the ability to make changes to actual and budgeted numbers during the course of the project.

Implementation/Integration

VersAccounts provides 16 hours of remote consulting as part of each package, along with a Rapid Self-Implementation Program that includes all the tools needed to ensure a clean migration from an existing system. Customers can go live in as little as a few days.

VersAccounts also offers full professional services for customers who wish to receive assistance during the migration process, including project planning, implementation consulting and product training.

In addition to e-commerce and point of sale software, VersaAccounts includes pre-existing integrations to bank and credit card gateways, expense management solutions, time tracking solutions, shipping and order fulfillment services and online marketplaces. The software also integrates with several specific vendors, like Shopify and Magento (e-commerce), Avalara (sales tax), Salesforce (CRM) and Wagepoint (payroll).

The vendor provides custom integration via file exchange or open REST API. Both standard and custom integration are optional add-ons only available in the Power and Infinity editions.

Customer Service & Support

VersAccounts has 24×365 support via email, phone and web conferencing. There’s also a community knowledge base users can access.

Pricing

VersAccounts offers three pricing tiers with an option to purchase either an annual subscription or a four-year subscription. All three packages include the core ERP modules, unlimited transactions, mobile functionality and customer support. They also allow the company to manage a single entity with the option of managing multiple entities.

The packages are:

Express Edition – The Express Edition costs $499/user a month annually or $349/user a month for the four-year contract, and is intended for companies that want to move from an existing ERP system quickly. It includes three full users with the option of adding unlimited users for $49 per user a month. It also includes eight hours of self-implementation support and up to 500 GB of document storage.

Power Edition – The Power Edition costs $999/user a month annually or $699/user a month for the four-year contract. It includes five full users with the option of adding unlimited users for $49 per user a month. It also includes 16 hours of self-implementation and up to 750 GB of document storage.

Infinity Edition – The Infinity Edition costs $1,499/user a month annually or $1,049/user a month for the four-year contract. Similar to the Power Edition, this package includes five full users and the ability to add unlimited users for $49 per user a month. The Infinity Edition also boasts 16 hours of self-implementation support and allows users to store up to 1 TB of documents. With this package, companies have the option of customizing VersAccounts to their specifications.

VersAccounts provides a range of optional add-on features. The availability of such features depends on the package selected. The add-ons available in all three packages are: email integration, custom forms and reports, consultations from VersAccounts and iceberg subscriptions (accessing older data after subscription is canceled).

In the Power and Infinity Editions, companies can optionally add standard and custom integration, split billing, electronic data interchange (EDI) functionality, limited access to external clients via a special portal, and master data management on third-party applications via VersAccounts. Please contact VersAccounts’ sales team for quotes for these services.

Finally, there’s the Monthly Express Edition, which costs $599/user a month. It offers the same standard feature as the annual/four-year Express Edition, but the optional add-ons are not available.

Shortcomings

VersAccounts has some customers in industries outside of its core targets. This has led to a few features, such as project management, being developed specifically for these customers. The features work well, but are not as complete as they would be if these were specifically targeted markets.

VersAccounts does plan to complete these features more fully as its market footprint expands.
