Total Management is a cloud-based, cost-effective property management system for both residential and commercial properties.

The all-in-one solution allows property managers and owners to easily handle tasks related to tenant leasing and tracking, work order management and complete Common Area Maintenance (CAM) reconciliation.

With the ability to access property information anytime, anywhere, your company can go paperless to save on expenses and provide services to tenants more efficiently. Total Management also includes an Accounting Package to effectively budget based on previous and current data, manage vendor information and create detailed reports.

For this review, we’ll focus on the property management features offered by Total Management.

Features

Users can easily navigate through Total Management with a standard menu across the top and a hierarchical tree menu down the left side of the screen. The tree separates commercial properties from residential ones, allowing you to access specific information based on property, vendor, tenant or financial data.

Total Management offers a number of property management features that streamline many tasks for property managers and owners. We’ve listed some notable features below:

  • Screen tenants – The system has a built-in screening tool that’s available in two packages (Credit & Eviction; Credit, Eviction & Criminal). Both packages include the prospective tenant’s FICO score.
  • Late Rent module – The Late Rent button brings you to a module that allows you to check who’s paid and who hasn’t over a defined time span. The module also lets you run a Balance Aging report and offers access to a catalog of canned messages for invoices, late notices and evictions.
  • Letter Wizard – Total Management includes a word processor that allows you to create or upload a letter with the option of printing the message or emailing it to your tenants. Total Management will remember tenant information so you don’t have to re-enter it multiple times.
  • Simplified moving – The property management system streamlines all the paperwork needed when moving out, even if the tenant is simply changing units. Total Management will automatically calculate the balance owed to you or the tenant. You can also generate checks and forward them to the tenant’s new address.
  • Payment entry – Simply select a tenant in the navigation tree or type in the person’s “quick code,” and enter the amount of the tenant’s payment. This will automatically apply the amount to the correct property and make the payment ready for deposit.
  • Security deposits – Automatically create security deposits and withhold funds as a tenant moves in and lives at your property. This eliminates the pain of dealing with an accountant or manually calculating balances.
  • Tenant portal – Empower tenants and give them a better experience with an online tenant portal. Tenants can pay rent using credit cards or electronic funds. if desired. And they can set up payment reminders or automatic payments using the same portal, along with requesting work orders. You can also keep your tenants up to date with what’s happening regarding the property by sending out an online newsletter.
  • Work orders – The solution makes managing work orders simple. Enter in the unit, and the system will automatically fill in the tenant’s information. The solution will also automatically email the tenant and text notifications to the assigned maintenance employee so you can save time.
  • Online marketing – Total Management partners with some of the leading real-estate sites in the industry. Once you enter your property listing, the solution will syndicate it to real-estate sites with heavy traffic, giving your listings online exposure to prospective tenants.
  • CAM & tax reconciliation – Figuring out CAM expenses is as simple as marking the general ledger accounts to be used for calculating the CAM. Once marked, Total Management will track the CAM and allocations, and it’ll generate a report after the reconciliation is complete.
