Workzone At A Glance
Product Overview
Workzone is a cloud-based project management solution with a strong focus on document management and collaboration. Users can manage projects, create to-do lists, track time, share files and more.
Also, Workzone offers custom branding for companies that want their logos displayed within their portals or an external account for their clients.
In addition to being easy to use and set up, Workzone offers these benefits:
- Ability to share files and collaborate with other users
- Ability to manage multiple projects, with alerts for when a specific task requires immediate attention
- Allows companies that support multiple clients to manage all projects related to a specific client together in one group
Workzone integrates with many applications, such as Dropbox, Tableau, Box, Google, Slack and Salesforce.
Features
Workzone includes a project dashboard where users can view projects listed by the employee in charge of the project, start and end dates, status, percentage of project completed and notes. The project column is broken down into specific tasks (task dependencies) and the deadlines and statuses of those tasks. Users can create unlimited sub-tasks nested under specific general tasks or projects.
Another feature of Workzone is project templates. Templates can be created for any project or task for future use, which saves time.
Users can also create project requests. Workzone automates the workflow by sending requests to specified users via email and presenting dashboard-style updates of request status.
Other project management features include a to-do list for users working on tasks associated with a single project or on multiple projects, a master group calendar for tracking deadlines, time tracking of each task broken out by user and workload reports for identifying resources.
A note on the to-do list feature: The task or project status is automatically updated once each user updates his or her to-do list.
Workzone also offers document management and sharing capabilities, such as:
- Sending files with specified permissions (authorizing specific users to edit, provide comment or only read documents)
- Adding comments to PDFs or images
- Email notifications alerting users to what should be reviewed or commented on (documents, tasks, etc.)
- Time-stamped commenting section for each document, task or project
- File versioning (tracking multiple versions of the same file; WorkZone organizes them with version numbers that represent each iteration)
- Automation of approval workflow, including emailing approval requests, tracking responses and alerting users if an approval is past due
