As a Citrix product, Podio is a cloud-based collaboration space, designed to be an all-inclusive project management tool. It helps businesses consolidate content into a single space, streamlines team communication and offers a virtual workspace for all business projects.
Podio is constructed with a series of apps, which are the individual tools that help teams organize tasks and track their work.
Within the platform, users are able to create apps for projects, campaigns, leads, deliverables, content calendars, and much more. Creating and customizing apps is as simple as dragging and dropping from a combination of field types, including text, relationship, link, progress and more.
The Podio app market allows users to search for and use over 700 industry-specific apps to set up a collaboration space. If there isn’t an app in the market, users can create their own with Podio’s open API and mobile SDKs.
Podio offers three different pricing plans: Basic, Plus and Premium. There are two different pricing tiers depending on whether businesses want to pay monthly or annually. Specific pricing for these plans is in our Pricing section below.
- Basic – The Basic plan is simple for anyone. The features include task management, Podio Apps and Workspaces, unlimited items, unlimited external users and user management.
- Plus – The Plus plan offers all of the features of the Basic plan, plus automated workflows, light user roles and read-only access.
- Premium – The Premium plan gives users a full suite of advanced features. It includes all of the features of the Plus plan, plus advanced workflow automation, interactive sales dashboards, contact sync and visual reports.
Podio has a free account for up to five users that include task management, Podio Apps and Workspaces.

- Podio Apps – Podio users can pick from existing apps or customize their own to meet a team’s specific needs, from structuring a workflow to organizing deliverables. Drag-and-drop tools make app creation quick and simple for all users.
- Workspaces – Workspaces are virtual spaces where people can collaborate on a project or task, reducing the number of emails and reply-all chains. Anyone can be added to a workspace, such as employees, vendors, contractors and clients. Each workspace can be set as “open,” “private,” or “for employees only” to guarantee only authorized people can see certain information.
- Communication and Online Meetings – Podio offers various tools for streamlined communication between team members, including activity streams to increase transparency, comments and likes to boost engagement, and Podio chat for instant messaging. The Podio Meetings app integrates with GoToMeeting, allowing users to choose meeting participants and launch an online meeting without leaving the Podio platform.
- Task Management – Within Podio, users can break down large projects into simple to-do lists with assigned tasks. Labels can be added to any task in a task list to help prioritize work. Files can easily be shared through status posts and chat messages, or can be attached to any tasks in Podio.
- Customized Calendars – Whether you want to look at an overview of everyone’s projects or just to track your own commitments and deadlines, Podio’s customized calendars make it easy to manage schedules.
- Extensions – Podio offers a number of feature add-ons that have been built by third-parties. These include tools for Gantt charts, time tracking and more.
