Product Overview

Viventium is a cloud-based human capital management (HCM) solution for the entire employee lifecycle. Its intuitive design simplifies administrative setup and end-user navigation. From applicant tracking, to time and attendance, to general ledger, to payroll and everything in between, its suite of applications can be customized so clients have efficient access to all their company’s HCM data.

For end users, a single sign-on lets them view and perform role-dependent tasks across the solution’s modules. For system administrators, an application program interface (API) gives them the ability to automate most manual client functions. Seamless integration with third-party vendor software offers clients additional functionality.

Viventium addresses several aspects of HCM, including Affordable Care Act (ACA) compliance, human resources, talent acquisition, time and attendance, and payroll. Its software can be tailored to any type of company, but it has a distinguished legacy in the home health care services sector.

Features

Below, we’ll summarize the top features of each of Viventium’s modules:

Human resources – The HR module has a variety of robust features. The solution offers users the ability to create a custom HR action plan, as well as document policies and procedures. Hiring forms can be accessed directly from the solution. Legal alerts keep companies in the loop about changing laws or court decisions. Compliance tools include a “mock audit” feature and a compensation analysis. In addition, the module has a training on-demand library for managers covering topics such as diversity/inclusion and employee crisis management. And it has an app for mobile access.

Talent acquisition – Features in the talent acquisition module handle the entire employee journey from recruitment to hire, to onboarding and promotions. During the hiring process, Viventium helps recruiters with applicant tracking. It has job status overviews, and it also tracks the job-post lifecycle (e.g., drafting descriptions, customizing application links, posting to job boards). Recruiters can generate reports on how applicants found the position, including a breakdown by source. Other candidate management features include custom workflows and rating templates. A team message board makes communication simple, and an automated calendar is compatible with most email servers.

Once a candidate has been hired, the Talent Acquisition module accommodates onboarding by distributing and collecting required documents digitally or as hard copies. It also tracks employees’ progress with the onboarding process. The solution works with E-Verify to check employee eligibility via Form I-9. In addition, it automates Work Opportunity Tax Credit (WOTC) assessment and enrollment.

Time and attendance – Two versions of its time and attendance module, one for companies with less than 100 employees and one for companies with more than 100 employees, feature single sign-on and mobile accessibility. The module serves as the primary platform from which managers can set employee schedules. Employees can also clock in and out through the module via web, mobile phone or landline, or biometrics. Additionally, users can project job costs, which are calculated by monitoring materials, labor and overhead.

Add-ons for the time and attendance module for companies with 100+ employees include advanced cloud-based scheduling, Family and Medical Leave Act (FMLA) management, and mobile clock kiosk mode cloud, which lets multiple employees use a single mobile device for all time clock operations. Wi-Fi adaptability, battery backup and power over Ethernet are also available.

Payroll – Based on a four-step sequence (start, edit, submit, process), the payroll module offers custom setup for each client. More than 40 features cover nearly every aspect of payroll and data visualization, including the ability to set up tailored management of cost centers and benefits categories; designate unlimited earning codes, deductions and tax rates; and customize email distribution. In addition, a one-touch access point dashboard simplifies administration and communication.

Benefits administration – With the benefits administration module, employees can learn about and enroll in their benefits plans. They can compare plans side by side and get all info about elections and premiums. Administrators can benefit from flexible plan design rules, approve enrollments, track open enrollment statuses and remind employee about enrollment. The module integrates with over 600 insurance carriers, so any data changes are automatically transferred to the carrier. Finally, admins can get insights in their benefits usage, elections and costs with standard and custom reporting features.

ACA compliance – The ACA compliance module helps companies meet their requirements under the law. Users can calculate and track all employee statuses to determine ACA eligibility, with real-time updates on employees’ status. Viventium also tracks healthcare coverage offers and affordability each month, and maintains running updates of ACA compliance throughout the year. In addition, the solution will prepare and file federal forms 1094-C and 1095-C on the company’s behalf each year.

Business intelligence – The business intelligence module generates actionable data that’s visualized through a drag-and-drop interface. It has more than 15 types of graphic charts, and it offers insights via a hands-on dynamic that translates an HR “situation” into an action plan.

Learning management – Powered by Nevvon (a healthcare LMS solution), this module empowers caregivers and employees to complete their compliance training requirements. Administrators can prepare learning plans by choosing from a library of over 150 courses, as well as import their own content. The software includes interactive tools, such as games, case study simulations and videos. Learners can access their training materials from the Viventium web portal or mobile app. Additional features are a compliance tracking dashboard, reports, offline access, multiple language support, a messaging tool. Finally, Viventium has a staff of registered nurses available to answer questions regarding training.
