Product Overview

UpKeep is an asset management solution (also known as CMMS) designed for in-the-field technicians to access, edit and close work orders straight from their mobile devices without being tied to their desks (although UpKeep is available on a desktop through a Web browser).

Requestors can submit a work order request via the software, so there’s no need to keep track of multiple emails and phone calls or piles of paperwork. Businesses can customize their work order forms, either by creating their own or using UpKeep’s templates. Managers can prioritize work order requests based on urgency and assign them to technicians as needed.

UpKeep also includes benefits offered with traditional computerized maintenance management system (CMMS) software, such as improved productivity, reduced maintenance costs and the ability to track an asset’s end-to-end lifecycle. However, unlike those solutions, UpKeep offers a very short implementation process and minimal training due to its intuitive interface.

Features

UpKeep includes many standard CMMS features. However, we also want to point out some of its unique functions.

UpKeep’s group collaboration feature is designed to improve communication among mobile technicians and their managers. Technicians can receive push notifications in real time for areas such as work order status or urgent requests. The manager can set up to six different levels of access, from users who can only view orders (such as third-party users or clients) to requestors and administrators.

Technicians have access to a calendar to see deadlines for all work orders as well as communicate with each other using the app. And finally, managers can create reports on various items, such as a breakdown of which work orders are assigned to which technician and the status of each technician’s work order.

Clients can also expand their collaboration by integrating UpKeep with Slack, a collaboration tool.

Other features of UpKeep include:

  • Scanning barcodes of inventory/assets and adding them to work orders
  • PDF work orders and invoices for email and print
  • Ability to store PDF files, such as manuals

Implementation/Integration

Users can sign up for a free demo via UpKeep’s website (or by downloading its mobile app on Android and iOS devices). After using the free demo, they can subscribe either monthly or yearly to one of UpKeep’s three pricing plans.

UpKeep has an optional Professional Implementation service that include data mapping, data cleaning and migration of asset records, work orders and other information from a different system.

Customer Service & Support

Users can contact UpKeep via chat and phone. The vendor offers access to a dedicated customer success manager for an additional cost.

UpKeep also has a Maintenance Community forum on Slack, where professionals can network with other users.

Pricing

UpKeep provides customers with a seven-day free trial and four pricing plans. We’ll list what’s included in each plan below (note that the prices reflect annual billing).

Lite – The Lite plan costs $20 per user, per month and includes basic features, such as unlimited work orders, preventative maintenance, asset management, custom tasks, unlimited request user licenses, and 24/7 support (phone, email, chat).

Starter – The Starter package is $45 per user, per month and adds on preventative maintenance optimization, custom checklists, inventory management, time tracking and 30-day analytics and reporting.

Professional – The Professional package is $75 per user, per month and includes multiple inventory lines, a customizable work request portal, advanced analytics and reporting, mobile offline mode and signature capture.

Business Plus – The Business Plus package adds on workflow automation, tracking features, API integrations, multi-site module support, custom dashboards, custom roles, purchase order management, Single Sign On and priority support. Pricing is no longer publicly available, so please contact the vendor directly for a quote.

UpKeep offers a range of professional implementation services. They are:

  • Training only – This training only service is intended for Professional plan users that want to learn more about maintenance management. It costs $500 and includes access to on-demand resources and a two-hour workshop session from a dedicated UpKeep trainer.
  • Quickstart – The QuickStart plan combines implementation and training in one package and is designed to get the company’s UpKeep account up and running with 45 days. It costs $1,500 and includes a dedicated project manager, standard feature setup, data migration and one-hour team training.
  • Advanced – The Advanced plan includes expanded implementation and training services to get companies onboarded within 85 days. It costs $5,000 and includes all of the features of the Quick Start plan, plus two-hour team training and advanced feature setup.
  • Custom implementation – UpKeep offers an implementation and training plan that’s customized to the company’s requirements. Please contact the vendor for a price quote.

Shortcomings

Because UpKeep is a mobile CMMS, there’s no on-premise deployment. Companies that strongly prefer having a CMMS installed on their servers can check out our other reviews.

Easy to use and effective!

UpKeep honestly makes things so much easier for us! I am a Roofing Crew Manager and I have had to spend so much time organizing work orders and making sure my employees know what to do and when. With UpKeep, I have the power to cut this process by more than half! UpKeep really helps us streamline all aspects of organization and has helped my business run smoothly and more effectively. Eased the Workload!

This app has been a great tool for my small business! Instead of sorting and dealing with paperwork that related to work orders, our maintenance manager is able to easily access data on our assets through the neatly organized tabs and simple interface. I love being able to prioritize certain work orders and review costs and additional reports. So far I have not experienced any glitches and the biweekly updates always seem to make the app run more smoothly. I would highly recommend this app.

Very efficient system

This app has been very helpful in managing work orders from my tenants. I have my tenants download the app so when they do need a light or plumping fixed, they just write a work order through the app. It makes it easier for me to manage who needs what since the app records the orders in a calendar.

Streamlined My Job!

This app has worked wonders for me! As a Landscape Crew Manager, I have had to dedicate so much time towards simply organizing how work orders are distributed amongst all the employees I manage. UpKeep does an amazing job at streamlining the process of organizing all of the tasks we are given. I highly appreciate the add co-workers feature, as it allows all team members to be on the same page! The application is cleanly formatted and is very easy to use. As someone who owns both a Macbook and an iPhone, I love that the syncing feature connects all of my devices. I am able to work at home, in the office, and on the go with ease! All business owners should definitely download this app - I highly recommend it!

Upkeep is the simply the best CMMS I’ve used to help manage our facility. It was easy to use, the best of its price, and has made my life, and the rest of our staff’s lives so much easier. It was simple enough for everyone to use and we are all now able to easily stay organized with your customer assets. A Great Asset

Our facility has used the Upkeep App for about nine months now. It has been a great asset for us. The app has greatly improved our maintenance process, from reporting issues all the way down to reporting back on completed work orders. We see a much better turnaround time from issues reported to work completed. We have absolutely no issues with work orders being lost now. We also have a more structured process, because of the app, of reporting work issues and we don't have multiple entries for the same issue. Upkeep has streamlined our work order process and allowed our maintenance department to be more effective. Thank you!

UpKeep Improved Everything

I have been a chief engineer in the industry for 10 years and have used several CMMS in my tenure. UpKeep easily tops them all and has been the most accessible and aesthetic product by far. It has been really refreshing to find all the information I need without having to answer relentless phone calls from sales associates who would beat around the bush about prices and software features. UpKeep is so user friendly, direct to the point, very handy for users like me and my team who have no time to go to the office and shuffle through paperwork.
